Notes from TO Open House Meeting July 23, 2008
In attendance:
Bird, Jannuzi, Alvarez, Garmany, Glaspey, Dunlop, Isbell, Fedele, Gessner, Merrill, Paul Smith (Steward), Hudson, Zazueta, Clemons
Buell addressed what KPNO’s goals of the open house are; the observatory, Schuk Toak District and Nation working together to share their culture with observatory staff and for the Nation to learn what is done at the observatory. Buell has informed the Executive Council, the Legislative Council and the Schuk Toak District of the intent to have this event and is currently working on resolutions to be presented at the Schuk Toak District meeting on July 26th.
Review of the to do list: Herman Ramon will be in charge of arranging the food and craft vendors, band and dancers.
Katy Garmany will head up organizing the children's activities to be held at the visitor center. Star wheels and UV bracelets are some good activities for kids. Concerns were expressed regarding space in the visitor center; is there going to be enough room? If you do these activities as an on-going event and don’t have set times then there’s enough room. Katy will need a couple of people, can call on PAEO staff and students, to help do this. Need at least two people.
Nanette will handle the refreshments (coffee, hot chocolate, cookies), glow sticks, volunteer/staff sign-up, transportation to and from the mountain, map of mountain and schedule of events.
Doug Isbell and PAEO will handle the advertising: TO Radio Stations, The Runner, school flyer design and distribution, mention in ads for people to dress warmly.
Buell will confirm with Pete Delgado by COB Monday July 28th if there will be a billboard available in Sells for us to advertise on.
Rich Fedele will have the Visitor Center open, stocked, and manned.
Robert Wilson will contact the TAAA to see if they’re available for that evening.
John Glaspey and Nanette will work together to arrange for Nation school buses to transfer people to the mountain and back from Sells. In prior years the cost was around $300 per bus/driver. We need a real plan for making sure no one is left on the mountain without a ride back to Sells.
Gessner will contact (after Monday) the Nation Public Safety Office to see if some of their EMT’s will be available for the event. Fire engine or ambulance at event?
Mike Hawes is in charge of getting mountain staff to work the event, have them set up the mountain, and designate what responsibilities they’ll have during the event.
Telescopes to be open:
WIYN with eyepiece
Steward 90 inch (they will staff with their own people)
Mayall 4m
McMath-Pierce
2.1 meter
All three NOP telescopes
Duration of event:
4:00pm to 9:00pm
Close telescopes starting at 9pm; everyone off mountain by 10pm
First bus leaves at 8 or 8:15
Action Items:
Contact Hillary Mathis regarding the 0.9 meter telescope and participation
Ideas for transporting elders around the mountain: electric cars or trams? Jim Click to donate some of his golf carts for the afternoon/evening?
Explore getting vehicles that are easier to load/unload rather than the vans for shuttling people around the mountain.
Ways to shuttle people to the 4m and 90-inch efficiently
Need NSO contact to be present at next meeting. (Plymate?)
The next meeting will be held within a week.
