Facility Operation Questions


  • 1) How do I report a current problem or emergency?

    If it involves a need for urgent medical support or fire response, dial 911 then notify Risk Manager Chuck Gessner (Ext. 8211) and Facility Operations (Ext. 8212 or Ext. 8106). Report all other facility emergencies, such as leaking water, power outage, etc. to Facility Operations (Ext. 8212 or Ext. 8106) for prompt response.

  • 2) How do I submit a maintenance support request?

    Please send an email describing what is being requested to O. Gary (gary@noao.edu) with a copy to Brenda Kouratou (kouratou@noao.edu) or John Dunlop (dunlop@noao.edu). The request will be reviewed and scheduled for work or action as appropriate. An account number should be provided for labor and materials.

  • 3) What if I think something is stolen from my work area?

    Employees are responsible for their personal items brought to work and should make reasonable efforts to secure items used in their areas. Notification of a theft should be made as soon as possible to the Risk Manager, Chuck Gessner (Ext. 8211) for investigation.

    Vehicle/Shuttle Usage


  • 4) How do I sign up for a KP shuttle?

    There are several methods available. You can send email (kray@noao.edu), telephone Karen Ray (Ext. 8212), or stop by the Operations Building to sign up on the log sheet just outside room X13.

  • 5) How do I sign up for a shuttle back to Tucson?

    You can send email (bcancio@noao.edu), telephone Bellina (Ext. 8603), or stop by the KP Admin building to sign up on the log.

  • 6) Where do I get on the shuttle?

    The shuttle leaves from the CFO maintenance yard and the KP Admin parking lot. Keys are generally available for pickup ~15 minutes prior to departure.

  • 7) Are there other locations to get on the shuttle?

    There are 3 other designated shuttle stops - the church just west of Mission and AJO, the ADOT maintenance parking area in Three Points, the base of KP at the turnoff from Highway 86. However a driver must be available to travel between the 2 main locations.

  • 8) Can I keep the Shuttle Vehicle on KP and return to Tucson in it?

    NO. The vehicle keys must be turned in upon arrival. There are mountain-based vehicles available for checkout and use on the mountain. If you carry equipment to KP, notify Bellina on arrival and return the keys after unloading. There are exceptions allowed, but they must be requested in advance and approved prior to departure.

  • 9) What if the shuttle vehicle needs gas?

    Generally the shuttles are kept fueled, but each driver should check the status prior to departure. During working hours notify Tucson or KP operations staff for assistance, all fuel must be noted on the fuel log. After working hours notify the Tucson Security person or KP weekend duty person for assistance. Fuel is only for usage in NOAO vehicles.

  • 10) Can I use the shuttle for non-KP travel?

    Depending on availability, the shuttles are available for usage on short duration local in-Tucson travel on company business. If scheduled in advance, subject to availability, vehicles are available for travel outside the Tucson/KP area. A Chevron charge card is available for gas needs on travel.

  • Parking Questions


  • 11) How do I get a temporary parking permit for a visitor?

    Non-scheduled short-term visitors can obtain a visitor permit from the PAEO office if space is available in the South Lot. For scheduled visitors, the employee should provide advance notice to CFO (kouratou@noao.edu) or call Ext. 8106) to request a visitor permit. The permit will be provided to the employee to give to their visitor.

  • 12) Where do my meeting participants park?

    Parking for all non-AURA attendees should be at the UA Second Street garage (located on Second Street near Mountain). All-day meeting participants or other all-day visitors should be directed to park in the Second Street garage. The department or participant shall be responsible for costs. During non NOAO-Tucson workdays, participants may park in the main parking lot.

  • 13) What do I do if I lose or forget my parking permit?

    Notify Operations (B. Kouratou Ext. 8106 or K. Ray Ext. 8212) as soon as possible and provide details on the loss or vehicle driven. Precautions will be made to minimize towing possibilities and Brenda will make arrangements to provide a replacement permit.

  • 14) What if I cannot find a parking space?

    NOAO does not provide every employee guaranteed parking. Efforts are made to keep non-employees from parking in the lots during working hours with violators towed when appropriate. If the main lot is full, the fenced-in non-surfaced area south of the main lot is available as an overflow lot, please exercise caution if you must use it.

  • 15) What if I obtain a new or replacement vehicle?

    Provide vehicle information to Operations for notation in permit information files. If permit was stuck to window of prior vehicle, scrape off and provide evidence of permit destruction to obtain a new permit.

  • 16) What if my vehicle is damaged in the parking lot?

    Employees are responsible for their personal or rented vehicles located in NOAO parking lots. Notify Risk Management (C. Gessner Ext. 8211) and Tucson Police Department should incidents occur.

  • 17) What do I do if my phone has problems?

    Notify B. Kouratou (Ext. 8106 or kouratou@noao.edu) or J. Dunlop (Ext. 8284 or dunlop@noao.edu) for evaluation and testing.

  • 18) How do I get voice mail?

    Regular employees can obtain voice mail by contacting B. Kouratou (Ext. 8106 or kouratou@noao.edu).

  • 19) What about personal phone usage?

    Phones are for company business and should not be used for commercial ventures, etc. (see HR employee handbook http://www.noao.edu/cas/hr/handbook/handbook5.html). Personal long distance calls are not allowed, individuals should use their personal calling card or call collect.
