Maintenance and Services
Maintenance Service Requests
Emergencies receive top priority and should be reported immediately by calling Ext. 8106 or 8212. In addition, problems such as non-functioning lights, air conditioning outages, etc., should also be reported as soon as possible to ensure a prompt response. For emergencies after-hours, follow the emergency guidelines posted throughout the facility.
Requests for support or work by the maintenance crew (such as office moves, furniture relocation, patio setups, etc.) should be submitted to Olando Gary (ogary@noao.edu) or Brenda Kouratou (kouratou@noao.edu) via email or memo. Please provide a requested completion date and allow sufficient time to plan and schedule the work. An account charge code is required for non-maintenance improvements.
Facilities Engineering (A/E)
Architectural and Engineering (A/E) services are available for facility changes and/or departmental/project support. In addition, service requests are also reviewed for A/E support needs. When requested and available, support is also provided to the Kitt Peak and Sac Peak facilities. Requests should be submitted to John Dunlop (dunlop@noao.edu). The requests should include a brief description, requested completion time, and a labor charge code for accountability.
Security and Safety Services
The security guards provide after-hours fire watch and security of the complex, issue and fuel late shuttle departures, and admit authorized after-hours visitors. In addition, when requested, they escort late working individuals to their vehicles. Employees should be aware of their surroundings and keep exterior doors closed at all times. After hours, preauthorized non-employee visitors are let in by the guards. Do not take it upon yourself to allow non-employees into the building at any time. Procedures are in place for the security guards to take care of entry for authorized visitors.
Chuck Gessner, NOAO Risk Manager, provides NOAO supervision over the subcontracted security guards. He also has primary responsibility for ensuring compliance to safety guidelines and that the NOAO Safety Manual is updated. All employees are encouraged to review this manual; copies are available online or from supervisors, managers, and the Risk Manager. CFO also provides ongoing daily support to the facility safety and security needs. In the event of an emergency, follow the guidelines posted throughout the facility and notify Chuck at Ext. 8211, John at Ext. 8284, or the CFO Office, Ext. 8106. Please talk to someone and do not leave a message that may not be heard in time.

Custodial Services
Custodial services are provided by a subcontractor after 5:00 p.m., Sunday through Thursday. The custodians are responsible for cleaning restrooms, corridors, the lobby, patios, and conference rooms. They remove trash from each office area, spot clean and periodically mop or vacuum the floor. A more in-depth cleaning of office floors is scheduled once a year with advance notice provided by CFO. Please notify Karen Ray at ext. 8212 if problems are encountered or if special cleaning is required.
Office Keys
A Key Card access system is in place for the NOAO-Tucson Facility.
This system controls access to the main building, other support buildings and specific interior areas.
Other interior and exterior door keys are issued as required and the records are maintained within CFO. Written authorization from the appropriate department supervisor or manager is required for special or off-system keys.
Contact Brenda Kouratou (kouratou@noao.edu), Karen Ray (kray@noao.edu), Rod Rutland (rutland@noao.edu), or Chuck Gessner (gessner@noao.edu) to request access cards or keys.
Key records are maintained. It is the employee's responsibility to notify CFO ASAP of any lost/stolen keys or access cards.
Access to NOAO-Tucson and KPNO Facilities
Exterior access times for the main building vary from 8am to 5pm on weekdays up to 24 hour access, depending upon manager-approved individual job requirements. Key Cards that allow access to the NOAO-Tucson facility will be issued to: The following part-time regular employees: Temporary or limited duration access key cards will be issued to the following: Deactivation of Keycards Controlled Areas Other interior offices and laboratory/shop areas utilize keys that are issued to individuals per manager approval.
Cargo Transportation (Kitt Peak to/from Tucson)
For cargo transportation from Tucson to Kitt Peak, provide advance notification to shipping and receiving at ext. 8126. This will enable scheduling of the proper vehicle, notation on the shipping manifest, and loading of the vehicle.
For cargo transportation from Kitt Peak to Tucson, provide advance notification to Mike Hawes at Kitt Peak, ext. 8734. This will allow for preparation of the shipping manifest, assist in scheduling the proper vehicle, and ensure loading onto the vehicle.
Groundskeeping
A subcontractor provides landscape maintenance and cleaning of the facility grounds approximately 3 times per week. Please notify Karen Ray at ext. 8212 if problems are encountered.
